Position Overview
The Administrative Assistant provides high-level administrative support to ensure efficient operation of the office. This role supports managers and employees through a variety of tasks related to organization and communication. The Administrative Assistant is responsible for confidential and time-sensitive material and is expected to be familiar with a variety of administrative and clerical concepts, practices, and procedures.
Key Responsibilities
- Answer and direct phone calls in a professional manner
- Organize and schedule meetings and appointments
- Maintain contact lists and databases
- Produce and distribute correspondence, memos, letters, faxes, and forms
- Develop and maintain a filing system (electronic and paper)
- Order office supplies and research new deals and suppliers
- Provide general support to visitors and act as a point of contact internally and externally
- Handle requests and queries appropriately and efficiently
- Maintain office policies and procedures
Qualifications
Education & Experience:
- Proven experience as an administrative assistant, office admin assistant, or similar role (2+ years preferred)
Skills:
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills
- Strong organizational and time-management skills with the ability to prioritize tasks
- Attention to detail and problem-solving skills
- Ability to work independently with minimal supervision
- Familiarity with office equipment (e.g., printers, copiers, scanners)
- Professional demeanor and strong interpersonal skills
